How to manage entry of students and teams into school sports competitions.
TeamBuilder
TeamBuilder is a web tool for creating and managing teams for competitions, it is accessible from a desktop, tablet, or mobile device and can be reached via the Dashboard by clicking the TeamBuilder tile.
Landing Page
Opening TeamBuilder will display a list of all sports and competitions your school has been invited to compete in, grouped under the competition owner. Competition owners will include your regional school sports organisation i.e. College Sport Auckland, an RSO i.e. Netball North Harbour, or in 2026 School Sport NZ.
Click the Comps button to expand the competitions, view the competition team entry and player selection cut-off dates as well as a count of your students and teams that have been entered into that competition.
Click the magnifying glass to search for the competition by name, sport, or competition owner. Toggle the show filter to change between viewing all competitions or just competitions that are open for entries. A competition is treated as ‘open for entries’ if team entries are still open.
Competition Screen
Opening the competition, on the left you will see a list of all people who have registered on the player registration form. Every school will have a form available to take registration directly from the student, coach, or team manager. Search, sort, or filter the list of people.
On the right you will see a list of all grades for that competition. Filter the grades list to show only those relevant and to hide others.
Team View
When viewing a team you will see details about the team, the team members, and the scorer code. The scorer code is used in the Match Day Scoring App.
In TeamBuilder, open the competition.
• On the right-hand side expand the grade
• Click + Add Team
• The Team Entry Form will open, prefilled with your logged-in details.
Enter a team name and answer any other questions
• The team entry fees may be displayed. Note: these are not invoiced at this point
• Read and tick the Terms and Conditions
• Click Submit
• On the Thank you screen, click Done
Now add players and coaches to your team. This may not be required based on the rules set by the competition owner but the choice is yours. Adding all players, coaches, and team managers unlocks additional benefits in Sporty, including Chat2Teams and match-day team selection.
To make this process easy, Sporty has a few ways to add players:
2. Add multiple people to a team quickly.
Sort or filter your database then add multiple people at once to a team. Tick the checkboxe next to the players name, then select Move X Players to Team.
4. Drag and drop from the school roll.
If your school has enabled the integration between Sporty and Kamar/Edge, then simply drag and drop students from your school roll into a team. If you are not yet connected or using a different Student Management System (SMS) contact Sporty Support to get your roll imported.

Students and coaches can easily be dragged and dropped from the participant databases on the left, into a team on the right.
3. Manually add new player.
Complete the registration form on behalf of the player. Use auto-suggestions to assist with the manual input of players.
For individual-based sports like athletics and swimming, in TeamBuilder select the competition.
• On the right-hand side, find the competition grade i.e. the ‘Regional Champions’ competition will have a corresponding ‘Regional Champions’ grade, this should be the first grade in the competition.
• Open the grade and click + Add Team
• Complete the Team Entry Form for your school
• Read and tick the Terms and Conditions
• Click Submit
• On the Thank you screen, click Done
Now add students to the team,
1. Drag and drop players into a team.
2. Manually add new player.
3. Drag and drop from the school roll.
When adding a student, you will receive a pop-up requiring additional information as you have not yet set the events that the student will compete in.
• Click Continue
• Select the events the student will compete in. The list of events will be filtered based on the students' age and gender and will only display events they are eligible to compete in
• Enter the students' qualifying time or distance for each event
Add a team for any relay events your school will be competing in.
• Open the relay grade i.e. 400m Senior Girls Relay
• Click + Add a team
• Complete the Team Entry Form
• Then drag and drop students from the participant database into the relay team
Sporty simplifies eligibility by automatically calculating a student's eligibility based on the rules set by the competition owner. Eligibility can be configured based on age, gender, or year level.
Either:
• Allow ineligible students to be placed into the team with a warning, or
• Block ineligible students from being placed into the team
If dispensation is required, please contact the competition owner.
A team with a warning will be highlighted in red. To view the warning message, open the team and click the exclamation mark (!) to identify the issue and the required action.
School Sport eligibility may be required for top-tier grades. If your school's roll is imported into Sporty, the system will automatically calculate the 'new to school' status. However, you will need to manually update the school roll for any non-domestic students. The quota field in the team view will display the student's status.
A warning will display next to the student for a few reasons.
1. The registration is missing mandatory questions.
2. The age, gender, or year level do not match the grade eligibility.
3. We were not able to match the player registration record to a school roll record, this will happen if your school roll is not imported, or the name in the player registration record does not match the school roll record. Open the school roll record by clicking update roll and complete the students details.
4. The number of 'new to school' and 'non-domestic' students in the team exceed the quota limits. In this case you can apply for a primary caregiver relocation exemption (PCRE). Open the school roll and upload the completed PCRE document.
5. The maximum number of exemptions have been exceeded, students may need to be removed from the team to clear this warning.
Add the Sporty Draws and Results widget to your website or open the competition owners website. Go to the draws and results page and log in as a results administrator. You will see Score Game under any of your school's fixtures.
Clicking Score Game will open the Score Game screen. Enter the result for both teams and click submit. Make sure to enter a result for all games, even if the other team has already entered a result.
If both schools' results match, the score will display in green, and no further changes can be made. If the scores do not match, the score will display in red, indicating a disputed score.
To resolve a disputed score, contact the competing school and try to resolve the issue. You can edit your results on the Score Game screen. Once a matching result is entered, it will display in green.
If your school needs to default a game, open the Score Game screen and change the status to Lose by Default. You will still need to contact the competing team to inform them that you won't be able to make the game.
The School Contacts database can be found in your school's Online Registration’s area. This form is used to maintain your list of contacts and is shared with your regional School Sports organisation.
It is the schools responsibility to add, remove and update contact details for anyone who requires communication regarding competitions. This database will also be used by other schools to contact your school in the case of a cancellation, a default, or a disputed result.
Login as a team admin, scorer, or player. View upcoming matches for your team.

Questions and Answers
Will I get an email when a competition is due to close?:
Yes, an automatic email should be sent to each school 3 business days before a competitions Team Entry Cut-off date. To enable this go to Admin Settings from the Dashboard, scroll to the bottom of the Admin Settings page and tick Enable Competition Reminders and set a Competitions Reminders email address.
How do I get my School Roll connected to Sporty?:
If your school uses the Kamar or Edge SMS then we can connect directly, contact Sporty Support to get this set up. If your school uses a different SMS i.e. PC Schools, then we can do a manual import of your school roll, contact Sporty Support for more information.
How do I enable access to score a game?:
Each administrator that requires access to enter scores will require the role of Results Administrator. To enable this go to Admin Settings from the Dashboard, open the Login and Access Control page and edit the user account. In the Other tab tick on Results Administrator.
